Timetabling Solutions is committed to transparency and ensuring that users are informed of any changes to our Privacy Policy and Terms and Conditions. This policy outlines the procedures for notifying users of updates and obtaining their explicit consent before they continue using our software.
2. Scope
This policy applies to all users of Timetabling Solutions’ software, including schools, administrators, and individual users who interact with our software.
3. Notification of Changes
When updates occur to our Privacy Policy or Terms and Conditions, Timetabling Solutions will:
Provide a clear and prominent notification to users who are subscribed to receive policy change updates via email and on the application sign-in page.

Change message on the sign-in page displayed for 30 days prior to the change:'We've updated our Privacy Policy.
Please review the changes. By signing in, you confirm that you have read and agree to our Terms of Use and updated Privacy Policy, including how we collect, use, and store your personal information.
Outline the key changes made and how they may impact users on electronic newsletters, upcoming releases, and topics such as software update alerts.
Include a direct link to the updated Privacy Policy and Terms and Conditions for users to review, with contact details and a complaint process.
Provide a minimum of 30 days’ notice before significant changes take effect if they alter the way users interact with the service or affect their rights and obligations under the policy.
Include 'Last updated: [month, year]' at the bottom of the policy as a form of version control to assist with determining which policy was in effect at the time the user signed in
No notification is required for minor updates such as wording clarifications, spelling corrections, or other non-substantive changes that do not alter users' understanding or obligations.
4. Explicit User Consent
To ensure compliance with applicable laws and regulations, including the Australian Privacy Act 1988 (Cth), GDPR, and UK GDPR, users must explicitly consent to the updated Privacy Policy and Terms and Conditions before they can continue using our services. This will be achieved by:

The Global Administrator at the school can view the consent history via the Access Log.
Preventing continued use of the service until acceptance is recorded.
5. User Support and Queries
Users will have access to support channels if they have questions regarding the updates. Timetabling Solutions will:

6. Compliance and Record Keeping
Timetabling Solutions will maintain records of user acknowledgments and consents to ensure compliance with legal and regulatory obligations.
Acknowledgment records will be retained as required for legal and compliance purposes.
Users cannot erase their acknowledgment records as they form part of contractual and regulatory compliance.
However, users may request a review of their acknowledgment record if they believe it was recorded in error or have concerns regarding their consent.
