Consultation Terms and Conditions
Please read the following carefully to ensure you are fully aware of your rights and obligations under these Terms and Conditions.
Timetabling Solutions reserves the right to convert any upcoming in-person consultation to an online consultation. This may occur at short notice and, in exceptional circumstances, during the consultation itself.
Timetabling Solutions will endeavour to provide as much notice as reasonably possible prior to the scheduled commencement date of the consultation.
Unless required by applicable law, Timetabling Solutions is not responsible for airfare, accommodation or any other direct or indirect costs or losses incurred as a result of a consultation being converted to an online format or cancelled. Participants are encouraged to consider flexible travel arrangements where possible.
Consultation registrations are not confirmed until the required deposit has been received in full.
Participants who do not attend a scheduled consultation ("No Show") will be charged the full consultation fee for the days reserved, unless a replacement participant is nominated to attend the same consultation prior to commencement. Cancellation and no-show fees cannot be applied as credit towards future consultations.
Timetabling Solutions reserves the right to cancel or reschedule a consultation due to unforeseen circumstances, including staff illness or other events beyond our reasonable control. In these circumstances, clients may choose either:
a full refund of any consultation fees paid; or
a credit towards a future consultation.
Privacy
By registering, you acknowledge that you have read and understood our Privacy Policy, as amended from time to time, and consent to the collection, use and disclosure of your Personal Information as described in that policy and these Terms.
When you register for a consultation, including online consultations, we collect Personal Information that is necessary to administer your registration, communicate with you, deliver the consultation, and provide associated services.
Dietary Requirements
Where catering is provided, we may ask you to provide dietary requirements, food allergies or other dietary preferences so that suitable meals and refreshments can be arranged.
By providing this information, you consent to Timetabling Solutions:
storing your dietary requirements in our customer relationship management system for future consultations;
using the information to arrange appropriate catering for consultations you attend; and
disclosing only the minimum information necessary to our catering providers (for example, "Susan is vegetarian" or "John has a nut allergy") for the sole purpose of preparing suitable food.
You may review or update your dietary requirements at any time through our website or by contacting us.
You may also request that your dietary information be deleted at any time. If deleted, we may ask you to provide your dietary requirements again when registering for future consultations.
Timetabling Solutions will only collect, store, use and disclose your Personal Information, including dietary information, in accordance with our Privacy Policy and applicable privacy laws.
Online Consultations
When you attend one of our online consultations, your Personal Information may be disclosed to Microsoft, our provider of online meeting and cloud services, to facilitate delivery of the consultation. Microsoft may collect, access, use and disclose your Personal Information in accordance with its Privacy Statement, available at:

Recording Notice
Timetabling Solutions' online consultations include functionality that allows audio, video, presentations and other materials shared during the session to be recorded.
It is not our usual practice to record consultations. However, participants will be notified when a recording is made. By continuing to participate after notification, you consent to the recording of your participation.
Any recordings will be managed in accordance with our Privacy Policy and applicable privacy laws.
By participating in a consultation, you agree to appropriately manage any Personal Information to which you are exposed in accordance with our Privacy Policy.
