Web Preferences Manager (WPM) will be permanently retired on 24 December 2026.

From this date, schools will need to use the new Preferences Manager to collect and manage student subject preferences.
Preferences Manager is part of the Timetabling Solutions cloud platform and provides an improved, more consistent experience, enhanced security, and additional functionality.
Schools still using Web Preferences Manager should prepare for the transition before the retirement date.

Accessing Preferences Manager

All staff who need to administer Preferences Manager must be assigned the Preferences Manager role.
Your school's Global Administrator can assign this role through the Management Portal:
  1. Sign in to https://timetabling.education.
  2. Open Task 1 – Manage Users.
  3. Select Roles.
  4. Assign the Preferences Manager role to the appropriate staff.
  5. Access Preferences Manager at https://pm.timetabling.education or when signed in to any other app, click on the app selector, located top right of the screen

Saving Historical Data from Web Preferences Manager

Historical data from Web Preferences Manager cannot be migrated to the new Preferences Manager.
Schools wishing to retain historical preferences, student receipts or other records must export this information before 24 December 2026.
For each Student Group containing data you wish to retain:
  1. Open the Student Group in Web Preferences Manager.
  2. Go to Manage Dataand export:
    • A zipped V9 file.
    • An Excel (XLSX) file.
  3. Go to Reports and save the submitted student receipts as PDF files.
  4. Go to Subject Rules and take a screenshot of any rules that you want to remember and save in a Word doc.
We recommend storing these exports securely in accordance with your school's data retention policies.
Important: Once Web Preferences Manager is retired, schools will no longer be able to access the application to retrieve historical data.

Student Email Address Requirements

Preferences Manager requires every user to have a unique email address, which is used as their username when signing in.
This supports modern security standards, including:
  • Single Sign-On (SSO)
  • Multi-Factor Authentication (MFA)
  • Passkeys
  • Other identity management technologies used by schools
Before commencing subject selection, schools should ensure that all participating students, including new enrolments, have a school-issued or personal email address on record.

Improving Email Deliverability

If your school uses the Timetabling Solutions email service to distribute notifications, we recommend that students and parents/caregivers add noreply@timetabling.com.au to their trusted contacts.
Alternatively, your IT department can configure your school's own SMTP server in the Management Portal.
Using your school's SMTP server allows messages to be sent directly through your school's email system, which can improve deliverability and help recipients recognise communications from your school.
