When sending a mass email from Timetabling Solutions V10, some users may see the message "Out of memory". This error does not necessarily indicate that the computer is low on RAM.

It occurs when the internal V10 email component is unable to process a large email body or a large number of recipients at once. Follow the steps below to resolve the issue.

Step 1. Restart the computer

V10 is a 32-bit application and can run into memory fragmentation if the computer has been running for a long time. Close V10 completely, confirm it is no longer running in Task Manager, restart the computer, then try sending again.

Step 2. Reduce the size of the email body

Very long emails, emails copied from Word, or emails containing invisible formatting can trigger the error. To remove hidden formatting, copy the email text into Notepad, then copy it back into V10. Avoid embedding images or pasting HTML content into the message body.

Step 3. If using Gmail in V10, consider switching to Outlook

Gmail authentication can require more memory during connection attempts. Sending via Outlook or your school’s Microsoft 365 system is recommended for large distributions.

Step 4. Reduce the number of recipients per send

V10 can experience memory limits when sending to a large group in a single batch. If you encounter the error, please try sending the email in batches of 25 to 50 recipients. If smaller batches work, the error is caused by exceeding the internal email buffer limit.
