An upgrade to our cloud apps is being applied on Monday, September 29th, during the school holidays. Your desktop app will continue to work.

All cloud apps running on https://timetabling.education will be unavailable between 12:01 am AEST and 11:59 pm AEST.

This full-day window is precautionary. We expect services to be available earlier. Please subscribe to this incident and be notified as soon as the service is available on our status page: https://timetabling.freshstatus.io/incident/1386021

Here's some information to help you get ready. We encourage you to review these changes ahead of time to ensure a smooth transition.

  • The service will be unavailable on Monday, September 29th. Your desktop app will continue to work.

What's changing?

  • User Roles
The application administrator role is being removed.

A new school administrator role is being added. This role can manage school details, campuses, term dates, students, teachers, rooms, year levels, duty areas, faculties, student and teacher access portal settings, Daily Organiser notification settings, including file explorer and export bundles. It is recommended for timetablers overseeing school data configuration.

The school administration role does not have access to security, SSO, email servers or SIF/LISS integrations.

Recommended action: On September 30th, ask your Global Administrator to assign the role via the Management Portal Task [1B] User Roles to your timetablers.

  • Campus and Academic Year
In the Management Portal, we are introducing campuses and academic years, which define the data sets for the Daily Organiser.

A campus can be the same physical site, such as defining the junior, middle, and senior schools, or it could be separate physical sites, such as primary and secondary.

A separate campus will have a separate timetable and daily organiser data.

Each school will set its academic year and term dates for each campus, and use one Daily Organiser file per campus per year.

Schools with one timetable file will only require one campus.

Talk to your timetabler (users of the Version 10.1 desktop application) and daily organiser about how they currently work so that you know what your Campus set-up should be.

TIPA campus and academic year are required for your next Daily Organiser data set. Publishing your timetable to your current Published Timetable Group will continue work. Your current Daily Organiser files are available by selecting the file from the drop-down, or by clicking on a new folder called 'Open Legacy' in the Daily Organiser app.

  • Modern View Daily Organiser
The modern view of Daily Organiser connects to the same database as the classic view and has been updated to provide enhanced performance.

To try the modern view, click your profile picture on the top right of the screen, click profile and scroll down to select either classic or modern.

Important: Daily Organiser Classic and Modern use the same dataset, but save changes differently. Modern downloads data to the browser and syncs updates back to the server in the background, which may cause a short delay before changes appear in Classic. To avoid confusion, if multiple users are working on the same dataset at the same time, we recommend that all users set their profile to either Classic or Modern.

In the modern view of the Daily Organiser, users can continue working even if the internet connection is temporarily lost. Any changes made during this time are recorded and displayed at the bottom of the page, and once the connection is restored, the data is automatically synced.

A share icon is located on the main menu at the top of our task tree and is available in all our apps. Use the share feature to securely send a link to view a copy of the current page, without that user needing the role to access that page. The link can only be sent to users listed in the Management Portal.

To improve security, printing the shared link can be restricted and set to expire. The current page can also be printed or exported to Excel, Word or PDF.

  • Secure Operations
A new security feature called Secure Operations.

When you see a save button with a padlock icon, you must have signed in within the last two minutes to proceed. If not, you’ll be prompted to verify your identity before saving. This helps protect sensitive data, following best practice security processes.

  • Passwords and Authentication
Must be at least 14 characters. This applies to new users, existing users when they edit their password, and to all users when the Global Administrator saves on the Settings|Security task.

Your Global Administrator can require two-factor authentication for all users and an option to require users who sign in using a passkey to provide their second factor.

  • Timezone
The time zone is used to schedule automated tasks, including SIF/LISS integrations, Preference Manager actions (such as emailing reports and managing student group status), and Daily Organiser notifications for teacher replacements.

Your Global and School Administrators can edit the timezone and ensure this matches your local time to maintain accurate scheduling.

  • Dashboard
The Settings | Dashboard tab in the Management Portal allows administrators to customise the home page for their community.

Administrators can upload and display the school banner, create and maintain staff contact lists, add helpful links for students, upload school newsletters in PDF format, and list current activities. These features allow schools to present relevant information in a central, accessible location, ensuring students and staff have quick access to key resources.

  • Project Folder renamed to File Explorer
Data Management now includes the items File Explorer and Export Bundles.

The Global and School Administrators, Timetablers, and Daily Organisers can access the File Explorer and Export Bundles tasks.

  • Updates to SIF/LISS Integrations
The SIF/LISS Integrations will support Campus and Academic Year, so you can sync more than one timetable | daily organiser data set and sync next year's data while still in the current year.

We have also included the option to create users for Teachers and Students added via the Get calls.

Additionally, when a school adds a new LISS, we check if the third party supports Timetable Structure calls. If they do, we retrieve the timetable values and populate our database. Then, we display the data, allowing the user to select the Timetable Structure to associate with.

  • Staff Access Portal renamed to Teacher Portal
The Staff Access Portal has been renamed the Teacher Portal to align with consistent terminology across our apps. Only users assigned the role of ‘Teacher’ can access it.

The Teacher and Student Access Portals will now use the most current Daily Organiser dataset.

A timetable published in next year’s Daily Organiser will only appear once the dates in the current year’s Daily Organiser file have ended.

  • Daily Organiser - Export Options
The export General Access - V8.1 and General Access - V9 options will
no longer be available in the web Daily Organiser module, as both General Access and TimetableFind were retired in 2022.

Note: the export to 'V9 Daily Organiser *.dof9' WILL remain, allowing apps like Synergetic to import the data.

TIP: If you don't currently export to General Access, then you won't be impacted.

  • Course Manager - Importing Student Files
Course Managers can only import files containing students who already exist in the Management Portal, task [3B] Students.
    • If students are missing, you will see an error message
    • Users with the new School Administrator or Global Administrator role can import the file and automatically add the missing students to the master list in the Management Portal, task [3B] Students

This change keeps all student records consistent across our applications.

New items in preparation for future updates
Several new items have been added to the Management Portal in preparation for future updates, which will have limited use to begin with. As functionality is extended, we will keep you updated on how the new features will help you to streamline data management within the system.

Thank you for your continued partnership as we enhance the Management Portal and our cloud applications.

Kind regards
