Steps to Set Up Gmail in Outlook (using IMAP):

1. Enable IMAP in Gmail

  1. Sign in to your Gmail account.

  2. Go to ⚙️ Settings > See all settings.

  3. Navigate to the Forwarding and POP/IMAP tab.

  4. In the IMAP access section, select Enable IMAP.

  5. Click Save Changes.

2. Enable "Less Secure App Access" or Use an App Password

Gmail no longer allows basic authentication for most accounts. You have two options:

  • If you have 2-Step Verification enabled:

    1. Visit: https://myaccount.google.com/apppasswords

    2. Generate an App Password for Outlook.

    3. Use this 16-character password in place of your Gmail password in Outlook.

  • If you don't have 2-Step Verification:
Google has likely disabled basic authentication. You will need to enable 2-Step Verification and then create an App Password.

3. Add Gmail Account in Outlook

  1. Open Outlook.

  2. Go to File > Add Account.

  3. Enter your Gmail address and click Connect.

  4. If prompted, choose IMAP.

  5. Enter the following server settings:

    • Incoming mail server: imap.gmail.com
      Port: 993, Encryption: SSL/TLS

    • Outgoing mail server (SMTP): smtp.gmail.com
      Port: 587, Encryption: STARTTLS

  6. Enter your Gmail address and your App Password.

  7. Click Next, then Finish.
