My classes/duties display strange descriptions that don’t match Timetabling Solutions, OR after publishing, a day becomes blank for students.
The LISS specification that Web Daily Organiser and Sentral use to communicate sets out some rules for naming classes that must be adhered to. These rules cover how a SIS (such as Sentral) can determine which classes are part of the same course. When these rules are not adhered to, unrelated classes can be linked into the same course, leading to confusing course descriptions on classes.
Imagine you have a Year 10 English course with 3 classes. Often, this might be given the class names 10EN1, 10EN2 and 10EN3. You also have a single Year 10 Engineering course; because there is only one of these, you name it 10ENG.
All of these classes will appear as part of the same 10EN course as they share a common prefix with a single class identifier following (1, 2, 3 and G).
To rectify this, ensure that there is always a class identifier on the end. In the above example, having 10ENG1 would be sufficient to separate the two courses, as our course identifiers would become 10EN for English and 10ENG for Engineering.
If you do not do this, Web Daily Organiser adds a numerical suffix of the class number order in lieu of the Class Identifier, which can cause problems as the identifier does not match between Publish Daily Data and Publish Classes. The consequence is that students will not be able to attach to their classes, as we are unable to link the class in the daily data back to the underlying subject class (e.g. we may have 10EN 112 from one call and 10EN 142 from the other – which will fail to match).
To correct this issue, please complete the following steps:
1. Open each student file in V10 Student Options and check that the Parameters have been set to include suffixes and the type of suffix
2. Go to screen [11A] Develop Grid, click Refresh Class Codes, then Save
(alternatively, amend your class codes on screen [11B] Edit Grid Report if you do not want to assign a suffix to all classes)
3. Open your Timetable file in Timetabling Solutions V10
4. Go to screen [7A] Class Information and check/edit your class codes to match the Student Options data.
5. Go to screen [6C] Check Student Data and look at the Class Information section. Any classes that do not match your student data will be listed here.
Note: On screen [7D] Class Names you can set the suffix length if it needs to be changed.
