TASS (YDM) Export Requirements
The TASS (YDM) exports the timetable information, including the Yard Duties and Meetings. This export uses the Yard Duty Area Code and Meeting Code as the class code field for TASS.
When importing the timetable file into TASS, there are 6 fields so it may be necessary to change the number of fields to import if this was previously set to 9.
NOTE: Rooms are mandatory in TASS but are not entered for Yard Duties or Meetings in Timetabling Solutions V10. Therefore, the Yard Duty Area Code and Meeting Code will also populate the room code field in the export file.
The requirements for both Timetabling Solutions V10 and TASS are listed below:
V10 Requirements
- Yard Duty Area Codes
No more than 4 characters – alphanumeric no spaces or special characters. The Yard Duty Area Code will be exported as the class code and the room code - Meeting Codes
No more than 4 characters – alphanumeric no spaces or special characters. The Meeting Code will be exported as the class code and the room code - Yard Duty Session Times Defined
The new Ttable.txt merges your academic periods and yard duty slots to equal the number of periods in your cycle therefore the yard duty sessions need to be defined before exporting
TASS Requirements
- Timetable Period Structure
The timetable period structure in TASS needs to include the Yard Duty times. For example if you have the following day structure of 7 academic periods per day and 5 Yard Duty timeslots then you would need 12 timeslots set up in TASS. The Ttable.txt will now export 12 periods in this instance. - Room Codes
All Yard Duty Area Codes and Meeting Codes need to be entered in as a Room in TASS. These can be uploaded to TASS or manually entered. - External Package Codes
All Yard Duty Area Codes and Meeting Codes need to be entered in as an External Package code in TASS and linked to a Subject Code. These can be uploaded to TASS or manually entered.
Subject Codes
As subjects cannot be imported to TASS and must be entered manually, the best option will depend on how many yard duty areas and/or meetings you have in your timetable and how you want this displayed on a teacher’s timetable in TASS. You can also set up your data using Option 1 for Yard Duties and Option 2 for Meetings or vice versa.
Option 1
Enter one subject called Yard Duty and link all the Yard Duty external package codes to this subject. On a teacher’s timetable the subject field will display Yard Duty and the Room field will display the Yard Duty Area Code from V10 to reflect where it is. This also needs to be done for meetings.
Option 2
Enter all Yard Duty Area Codes as individual subjects in TASS and link each external package code to these. On a teacher’s timetable the subject field will display the actual area name (as per what you called the subject) and the Room field will display the Yard Duty Area Code from V10. This also needs to be done for meetings.
Helpful Hint
Whilst subject codes cannot be imported into TASS, external package codes and rooms can be imported by users with the required permissions.
