Timetabling Solutions is a 100% privately owned company in Australia.  Our head office is located in Geelong, Victoria, and we have offices in Melbourne and Brisbane.

Timetabling Solutions provides desktop software and fully hosted applications using Microsoft Azure data centres located in Australia to assist schools in constructing and maintaining their timetable.

The General Data Protection Regulations (GDPR) affects all companies managing personal data in the European Union.

Personal data refers to any information related to a natural person or ‘Data Subject’, that can be used to directly or indirectly identify the person. It can be anything from an identification number, a name, a photo, an email address, posts on social networking websites, medical information, or a computer IP address.

Under the GDPR, Timetabling Solutions is a data processor, not a controller. A controller is the entity or person who decides why, how and what data needs to be collected and processed (handled), while the processor is an entity that handles the data on behalf of the controller (for definition of terms, go to: https://www.whatisgdpr.eu/definitions).

Explicit consent is required for processing sensitive personal data. Timetabling Solutions requires our European Union clients to obtain parent consent to use our products and for Timetabling Solutions to manage any requests for data access or requests to correct data. Many parents will be unaware Timetabling Solutions is being used to help schools manage their timetables. Requests and corrections must be directed to the school.

Timetabling Solutions does not have a direct relationship with parents or students, and where personal or contact details are loaded by the school into their Timetabling Solutions software, it’s the school that manages the relationship and communicates with these parents and/or students and determines/controls how this data is used.

Timetabling Solutions Data Fields 
Timetabling Solutions manages limited student personal data such as name, code and timetable information (class times and rooms).


Timetabling Solutions manages limited teacher personal data such as name, email and timetable information (class times and rooms).

The school user may also create additional fields to contain data that they wish.  It is common for schools to include student data such as, preferred name, email address, gender and teacher data such as title, teacher registration id, phone and address.
