Management Portal
Task 1A – Manage Users
- Multiple users can now be assigned the Preferences Manager role.
Task 3B – Students
- Student data can now be imported directly from V10 data files.
- Students now use a single login to https://timetabling.education, allowing access to all student groups they have been assigned in Preferences Manager.
- In Web Preferences Manager (WPM), students were provided with a separate access code and password for each student group.
- Up to four parent/caregiver email addresses can be entered manually or imported from SFX, CSV or XLSX files.
- Additional gender options have been added for use in selection rules:
- Non-Binary
- Female and Non-Binary
- Male and Non-Binary
Task 4B – Subjects
- Subject data can now be imported directly from V10 data files.
- Subject descriptions can be imported from CSV or XLSX files, enabling centralised management and reuse across multiple student groups.
Home Page
Export
- Preferences can be exported directly to V10 Student Options, either creating a new file or updating an existing file.
View Changes
- The View Changes page now displays the date, time, user and action performed.
Online Status
- When Online is set to True, the student group is visible and editable in the Student Portal.
- When Online is set to False, students can still access the group and view their information, but cannot modify their selections.
- To completely hide a student group from a student, set the student to Offline via Task 3B – Students.
Parameters
Reload Preferences
- When set to True, the student's previously submitted preferences are loaded.
- When set to False, the selection page opens without any previously selected items.
- In WPM, previous selections were always preloaded.
Instructions
- HTML formatting is no longer supported.
Receipt / Confirmation Instructions
- Parent/caregiver confirmation can now be collected either:
- At Submission
- Via Email
- When At Submission is selected, a confirmation checkbox appears on the receipt page for parent/caregiver acknowledgement.
- Student preferences are always recorded and exported regardless of confirmation status.
- Schools may determine how confirmation status is treated within Student Options.
Parent/Caregiver Email Alerts
- When parent/caregiver confirmation is enabled, an alert displays the number of students without a parent/caregiver email address.
- The Parent/Caregiver Email column on the Students page is highlighted in red where no email address has been entered.
Counsellors (formerly Manage Users)
- Counsellors can be assigned access to specific student groups.
- They can:
- View and edit student receipts
- View and edit student preferences
- Access selected reports
- In WPM, report access was configurable by the manager.
Students
Read-Only Fields
- A crossed-out pencil icon indicates read-only fields.
- These fields can be edited within the Management Portal by users with the appropriate permissions.
Student Receipts
- The Open Student Receipts report has been removed from the Student Details page.
- A new Submitted Student Receipts Report, which can be filtered by student, is available via Task 21.
- An Email button has been added to the Students page.
- In WPM, mass email functionality was provided on a separate page.
Confirmation
- When set to True, parent/caregiver confirmation is required.
- When set to False, no parent/caregiver confirmation is required.
Completed Subjects
- Completed subjects can now include a score.
- Scores can be used within prerequisite rules.
- Example: To select Subject A, a student must have completed Subject B with a score greater than 75.
- Completed Subject data can be imported using the Completed Subjects XLSX Template available via the Import button on the Students page.
Subjects
Gender
- Additional gender values have been added for use in selection rules:
- Non-Binary
- Female and Non-Binary
- Male and Non-Binary
- Subject gender can be edited in the Management Portal by users with the Global Administrator or School Administrator role.
Preference Groups
Text Entry Questions
- Text entry questions can now be configured with predefined multiple-choice responses.
Study Streams
Selection Instructions
- Study Streams can now override the Student Group Selection Instructions.
Receipt / Confirmation
- Study Streams can now override the Student Group Receipt/Confirmation settings.
Selection Rules (formerly Subject Rules)
General Changes
- The option Display this message to the Student when the rule is applied is no longer supported.
Prerequisites and Corequisites
- The user interface has been redesigned and simplified.
- Rules are now created by adding subjects and selecting AND or OR between them.
- The free-form rule expression field has been removed.
- Complex nested logic is no longer supported.
- Example:
1 OR 2 AND (3 OR 4)
- Example:
- This provides a simpler, more intuitive way to configure subject selection requirements.
Prerequisite Rules
- A minimum score can now be specified as part of a prerequisite.
- Example: To select Subject A, a student must have completed Subject B with a score greater than 75.
- Completed Subject scores can be imported using the Completed Subjects XLSX Template available from the Students page.
Corequisite Rules
- Corequisite rules can now include Completed Subjects.
Restriction Rules
- Restriction rules can now include Completed Subjects.
Confirmations (New Page)
The Confirmations page is used to manage student receipts where parent/caregiver confirmation has been requested but not yet received.
Approving a student:
- Removes them from the Parent Signature Pending list used by the Parent/Caregiver Confirmation mass email template.
- Allows schools to manually accept preferences where:
- One parent/caregiver signature is sufficient.
- A parent/caregiver email address is incorrect.
- A parent/caregiver email address is unavailable.
- Confirmation cannot otherwise be obtained.
Single Student Login
Students now sign in once via the Timetabling Solutions portal and can access all assigned student groups and view their timetable. Separate access codes and passwords are no longer required for each group.
