As part of our recent updates to the Daily Organiser, datasets are now configured to operate across the full academic year. Previously, some schools created separate datasets each term or semester; however, this is no longer an option.
To support this change, we have introduced a new feature, Overall Limit Reset Dates, that provides greater flexibility and control over how replacement allocations are tracked throughout the year.
In schools where the overall limit is not based on a year, the overall limit can be reset on screen [2C] Calendar - Cycle Start Dates (Modern View) or [1D] Cycle Start Dates (Classic View).
What are Overall Limits?
Overall Limits allow you to define how many counted replacements a staff member can receive across an academic year, with the option to reset these limits at specific points.
This works alongside your existing Cycle Start Dates, which continue to reset cycle-based limits and statistics.
Key Points
- Cycle Start Dates
- Reset cycle-based limits and counted replacements.
- Must be configured to ensure accurate reporting.
- Can be set automatically (e.g. weekly or by timetable cycle) or manually.
- Overall Limit Reset Dates
- Reset the total counted replacements within the academic year.
- Must align with Cycle Start Dates.
- Are set manually by selecting the relevant dates.
- The first cycle start date (created when your Daily Organiser dataset was set up) is automatically treated as an Overall Limit Reset Date.
- If you wish to apply a single limit across the entire academic year, no reset dates are required.
How to Configure Overall Limits
- Set your Cycle Start Dates (automatically or manually).
- Go to either task [5A] Teachers (Modern View) or task [6A] Teacher Details (Classic View)
- Set the Overall Limits for your Teachers
- Go to task [2C] Cycle Start Dates (Modern View) or task [1D] Cycle Start Dates (Classic View)
- Switch the view from Cycle Dates to Overall Limit using the dropdown in the top-left corner.
- Tick the dates where you want the overall limit to reset.
Why this matters
This enhancement ensures:
- More accurate tracking of staff replacement loads across a full year
- Greater flexibility for schools that operate across terms, semesters, or custom cycles
- Improved alignment between reporting and real-world staffing policies
